For over 40 years Women’s Legal Service Victoria (Women’s Legal) has championed women’s rights to live free from violence. We are a dedicated team with a passion for working with women and non-binary people to live free from violence and discrimination by:
  • Providing high quality integrated legal services for Victorian women and non-binary people who are victim-survivors of family violence and disadvantaged or marginalised by structural and systemic barriers. 
  • Building the capacity of professionals who work with women and non-binary people, to better understand the law and navigate the legal system safely.
  • Advancing gender equality by challenging unsafe and discriminatory policies and laws and informing and advocating for legal and policy initiatives that respect and promote the rights of women and non-binary people.
 
About the Role
As part of our collaborative Office Admin team, you’ll provide high-level administrative support across the organisation, helping to ensure seamless day-to-day operations. From managing bookings, systems and rosters to supporting onboarding, finance and facilities, you’ll play a key role in keeping things coordinated and efficient. This role is also key in enabling our organisation to deliver impactful legal support and advocacy to women and non-binary people.
  • Manage client appointments using Acuity scheduling platform and Outlook calendars;
  • Data entry using Action Step (legal practice management software) and CLASS (legal data management software); 
  • Pay invoices, claim grants of aid and manage the trust account transactions;
  • Support the creation of monthly lawyer rosters; 
  • Book barristers and locums for briefs; 
  • Answer reception overflow calls;  
  • Assist with procurement of office supplies and equipment; and 
  • Manage shared spaces and assist with ad-hoc administrative tasks across organisational areas as required. 
 
About You
You’re a natural organiser who thrives on variety and takes pride in the small details that keep a workplace humming. You are proactive, flexible and unfazed when priorities change. Your strong communication and interpersonal skills mean you build rapport across teams quickly, and your warm, professional phone manner means you can handle challenging or sensitive calls with confidence and care.    Key to your success is your:  
  • Extensive experience (2-3 years as a minimum) in an office environment with exposure to reception and administration; 
  • Strong administration skills with an advanced knowledge of MS Office Suite; 
  • Excellent attention to detail and accuracy; 
  • Ability to prioritise competing tasks and deadlines; 
  • Positive attitude with a flexible approach, particularly whilst working in an environment of change; 
  • Exceptional customer service skills; and 
  • Proactive/self-managed approach to daily tasks.
